Introduction of outbound email limits by Microsoft for Exchange Online customers

Please note that Microsoft has announced a change regarding the sending of emails outside your organization. This change may impact the functionality of notifications sent by DocuWare systems if you are using a personalized email address (hosted in Exchange Online) to deliver your DocuWare notifications.

Microsoft's start date is set for April 3, 2025, and the aim is to prevent misuse of Exchange Online resources and ensure availability for all their customers. You can find more details in Microsoft’s announcement.

How does this change affect DocuWare customers?

In DocuWare Cloud systems, our services will manage any throttling issues by attempting to resend emails as soon as your quota permits. Additionally, users will be informed via email when throttling occurs, and the administrators will be informed if a mail service configuration is not working properly and fails to deliver emails to DocuWare users. For all DocuWare customers, cloud and on-premises, using their own SMTP server to send DocuWare notification emails (i.e. for workflows and automated notifications) from a custom mailbox and not from the DocuWare system address (i.e. from a personalized address like "workflow@peters-engineering.com"), we recommend to review the limitations set by Microsoft to avoid having throttling problems while sending their emails to users with an external email address.
