Achieve higher automation rates in office processes

Classification
Split, extract data and classify your documents with ease

DocuWare Intelligent Document Processing facilitates far more productive work than traditional document processing procedures using solutions powered by AI.

Effortlessly sort your documents, whether from an email or scan with automated document classification.

Unlock the power of your documents by leveraging the most accurate data extraction DocuWare has to offer through OCR and HTR.

DocuWare IDP runs in the background, saving time for more important tasks and eliminating manual efforts by increasing automation in document workflows.

How AI-powered document processing overcomes inconsistency

DocuWare IDP leverages best-in-class AI to provide customers with the fastest document lifecycle automation rates, greatly improving overall productivity and earnings.

  • Automatic classification reduces time and effort spent by triggering document workflows.
  • Almost any document type can be automated, even weathered scans or handwriting.
  • Complex data positions can be extracted precisely regardless of page breaks.
  • Trainable AI model empowers custom workflows and integrations with accurate data from the start.
  • Pre-trained use cases for dramatically reduced configuration requirements.
  • Focus on other tasks while IDP runs in the background, facilitating less manual intervention.
  • Scale business with the same or fewer resources.

Classification

Save time and money with classification by automating document-based workflows, ensure your document is always in the right place at the right time.

extraction (1)

Extraction including HTR

Extract either character or handwritten text from documents, even of poor quality or with complex data positions, eliminating human input.

splitting (1)

Splitting

Detects individual documents within a batch and automatically divides them into separate pdfs, ensuring consistent processing and better alignment across systems.

Cropping standardizes the sizes of documents from various sources, ensuring consistent and optimized processing.

Intelligent Document Processing Workflow

IDP-OCR

OCR > Classification > Extraction

Classification

Identifies different document types and automatically assigns them to categories based on their content and properties. Classification can also trigger specific workflows for designated document types, further increasing automation rates.

Classification use cases

  • Identify documents and push them into process-specific storage
  • Trigger a specific workflow based on the document type
  • Eliminate “trash” that you don’t want to archive (images logos from email or signatures for example)

Extraction

Extraction takes the critical information present on documents (e.g. Invoices or identity documents) using OCR technology and assigns them to a designated data field for further processing. This eliminates manual data entry and human-error.

Extraction use cases

  • Archiving old, weathered or crumpled files
  • Reading out dirty documents (e.g., logistics, construction)
  • Complex data positions and page breaks

Extraction for Handwriting

Extraction using HTR (Handwritten Text Recognition) recognizes handwritten text with high accuracy and converts it to editable characters which can then be used as index entries with high accuracy.

Extraction for Handwriting use cases

  • Standardized forms from authorities, tax offices, applications, etc.
  • Logistics documents with handwritten notes
  • Contracts and document addendums

Offerings

Intelligent Document Processing leverages advanced AI technology to streamline workflows, reduce manual errors, and enhance operational efficiency across various industry needs.

IDP

  • DocuWare IDP integrates comprehensive document process automation and security within a unified document management platform.
  • IDP Standalone focuses on delivering high-accuracy data capture and document classification, ideal for businesses that need a flexible solution to complement their existing systems.

Your Data, Your Model

Pre-Built

  • Models come pre-configured with established structures, defining the data fields they extract or the classes they classify.

Fine-Tune Pre-Built

  • If the pre-built model performance is not optimal for your specific data, you can fine-tune the model by providing it with more specific data.

Build Your Own Model

  • You can provide the data for your unique case to enhance performance where a pre-built model might not yet meet the standards for specific document process.

How does DocuWare IDP leverage AI to improve efficiency in businesses?

IDP understands the document more like a human does and therefore requires less instruction or manual intervention to complete workflows, increasing efficiency.

How does IDP differ from traditional document capture software?

Unlike traditional software that handles only structured data, IDP excels in processing unstructured data, handwriting, and poor-quality documents, providing greater accuracy and efficiency.

How do we know that the extracted data is accurate?

Our AI is based on a confidence level for every data point. Pre-built models come with 97% accuracy out of the box and can be trained for further customization and precision.

How do we improve the AI model ?

Over 360 million documents have been used to train the model. You can continuously improve the AI model by training it further.

What is the primary difference between IDP and Intelligent Indexing?

Intelligent Indexing takes place before the document is stored in the file cabinet. The extracted data can be confirmed by the user, errors can be corrected and missing information can be added. This feedback continually trains Intelligent Indexing.

IDP typically requires training by a partner, which is typically a paid service.

Can DocuWare IDP be used without a document management system?

Yes, DocuWare IDP can function as a standalone solution for organizations that require advanced document processing without the need for a full document management system.

Is my data safe while using AI for document processing?

Yes, your data is safe!
All data is anonymized before it is used to train the basic model. Furthermore, the AI system never uses the entire document, but only a single, very small component of each document. The documents themselves cannot be reconstructed, nor can personal data.
DocuWare IDP is subject to the strict rules of the GDPR.
