The new DocuWare is a comprehensive tool that helps you work smarter. It’s based on three central elements: Modern web and mobile clients, the powerful AI assistant DocuWare Aura with direct access to documents in DocuWare, and DocuWare IDP, which can now be configured right inside the DocuWare platform. Additional updates in DocuWare version 7.15
Apart from the new DocuWare, the current release also contains new features that expand customer’s options even further.
These additions are centered around the new Workflow Designer: Workflow activities are now automatically put in order, there are different standard colors for different types of activities, and users get a live preview of workflow notifications while processes are still running — so workflow configuration is now quicker and easier than ever before.
In addition, it is now possible for DocuWare Forms to automatically include values that were selected from dropdown menus. This reduces the error rate and means that fewer fields must be filled out manually.

Price model for DocuWare Aura
The licensing model for DocuWare Aura is based on credits and usage. Different DocuWare Aura queries can require different quantities of credits.

Freemium: DocuWare Cloud customers will receive a certain number of free credits, so they can explore DocuWare Aura with their own data. In this model, the number of documents that can be used as source material is limited.

Premium: Customers who want to use DocuWare Aura consistently and use a larger volume of documents as source material must purchase credits for DocuWare Aura. There are different discount levels, so the price per credit decreases step by step as the order volume increases.
To give you a sense of how the credits work: A complex query in DocuWare Aura that includes a file cabinet search and evaluation of longer documents with a large volume of text requires around 30,000 credits. Simpler queries use correspondingly fewer credits.

Rollout and transition from classic DocuWare to the new DocuWare
The rollout of version 7.15 for DocuWare Cloud — and, simultaneously, of the new DocuWare — will be carried out as with the previous versions of DocuWare:

As of today’s release, new customers will get DocuWare Cloud based on this new version — that is to say, including the new DocuWare.

Updates for existing customers will begin in mid-October and will continue in stages for a period of approximately two months. As usual, customers will be notified by email about their scheduled update.

The on-premises version of DocuWare 7.15 is expected to be available in mid-October. Please note that, for the time being, both the new DocuWare and DocuWare Aura will only be available for DocuWare Cloud.
The new DocuWare is designed to make the transition seamless.
No technical changes are required for the update — the classic and the new DocuWare client run parallel to each other and use the existing data and settings. Users can easily switch back and forth between the clients, and the choice to switch to the new DocuWare is an individual one: each team member can decide for themselves which client they want to use. If someone puts a stamp on a document in the classic viewer it will, of course, also be visible on the document in the new viewer — just to name one example.
The new client’s intuitive user guidance makes it especially easy for employees to learn their way around; no special training is required. In addition, the classic DocuWare client will be available in parallel to the new client for at least a year, so there is plenty of time to make the transition.
Important preparations for version 7.15 and the new DocuWare
Please keep the following points in mind for a smooth update:
File cabinet permissions vs. dialog: The difference will become visible in the new DocuWare
The new search function and DocuWare Aura search all locations where a user has permissions — independent of search or result dialogs. This is by design, and it’s foundational to the solutions we’re building next. But it also brings an important issue to light: Where access has been managed through dialogs rather than file cabinet permissions, users may now find documents they couldn’t access before — even though the permission model itself hasn’t changed.
We suggest checking proactively with your customers to ensure that all permissions are configured correctly. Learn more in this article from July 2026, in which we already drew attention to this topic.
In addition, please keep in mind that in the new DocuWare, the functions available in the context menu of the result lists can be managed only via file cabinet permissions, not via individual result list dialogs.
DocuWare Cloud and single sign-on: New callback URL required
In connection with the new DocuWare, we are also introducing a new version of Identity Service for DocuWare Cloud. Consequently, the administrators of all Cloud customers using single sign-on (SSO) must add an additional “callback URL” in their SSO configuration before updating to DocuWare version 7.15.

Early access — Test the totally new IDP Configuration!
In DocuWare 7.15, you’ll get early access to a completely new way of setting up DocuWare IDP in DocuWare Configuration. A newly designed user interface makes it easier than ever to set up IDP processes, create AI agents and process documents with IDP — all without leaving the DocuWare interface, and without using DocuWare Workflow. Early access gives you a chance to try out the new Configuration interface and create simple configurations.
Here’s what the interface already has to offer:
- Visual configuration interface to build drag & drop IDP flows
- IDP splitting, classification and extraction, including Master Data Matching and validation
- AI agent overview within DocuWare
- Create new AI agents, including training with data from DocuWare file cabinets
- Agents can store documents without index mapping, based on DocuWare file cabinets
