The January update for DocuWare Cloud and locally installed DocuWare systems significantly expanded the options for processing and saving e-invoices with Connect to Mail.
One Configuration for almost all e-invoices
The update now allows you to process the common German and French e-invoice formats (XRechnung, ZUGFeRD, FacturX) and many more with a single configuration. That means there’s no need to set up a separate document processing configuration for each type of e-invoice and link them with the configuration for emails.
DocuWare uses the international UBL standard, on which most e-invoice formats are based and which conforms to the PEPPOL standard, so you must use a sample invoice of this type to utilize the functionality.
Setting up e-invoice processing
To process e-invoices with Connect to Mail, simply change two settings in the DocuWare configuration, always using the same archive:
- Document Processing: Create Configuration
Under “Document Processing,” first create a configuration with a sample document that conforms to the international UBL standard. This is used in document formats such as XRechnung or PEPPOL. Sample documents can be downloaded in the PEPPOL documentation under “Downloads>Example files,” for example. - Connect to Mail: Link Document Processing Configuration
Under "General Email" go to “Automatic Document Processing” and select the configuration you created previously. If an email with an electronic invoice attachment is saved using this configuration, the e-invoice will be processed as defined in the configuration.
One e-invoice per email attachment can be extracted. If an email has multiple invoices attached, these will need to be stored individually.
E-invoices with Connect to Mail vs. Connect to Outlook and Outlook Add-In
We recommend using Connect to Mail to process electronic invoices and archive them compliantly and conveniently.
Soon, it will also be possible to process electronic invoices using DocuWare Outlook Add-In, the successor to Connect to Outlook. We will keep you updated via future PartnerInfos.
In Connect to Outlook itself, the current functionality remains unchanged. You can use a document processing configuration to process electronic invoices, but each individual e-invoice format needs its own configuration.
Availability of the Connect to Mail update
In the case of DocuWare Cloud, the update has already been installed for all customer organizations. For on-premises installations, the update is included in the hotfixes beginning with version 7.11 available by the end of January.
