Status tracking: What decisions were made before my task?

When you receive a task, you want to know what decisions were made previously regarding the document. The answer can be found in the Decision history in the sidebar of the viewer. 

Perhaps you want to know where a document is in a workflow and to whom it’s currently assigned. In such cases, you can also conveniently track the status. The Decision history can be called up for all documents in a workflow, even retroactively for those where the workflow is complete. This is available to you as a supplement to the existing Workflow history

How to open the Decision history 

You can access the Decision history via the clock icon button in the upper right toolbar. Workflow decisions are displayed in chronological order, starting with the most recent.

The Decision history has no influence on the stamps on the document, these are displayed as usual. Unlike the Workflow history, the Decision history does not include any automated activities.

Filter by workflow

If you open the document from within a specific workflow task, it’s pre-filtered for the current workflow. Decisions from ad hoc workflows (“Send request”) are also displayed.

The Decision history can be filtered by one or more workflows. If a workflow is not yet completed, the task currently being processed by the assigned user(s) is displayed at the top.

 

View current task for a request

You can also view the current task for a request ("Send request" function). This information follows the same structure as the workflow tasks:

  • Type: Request
  • Name: Subject of the request
  • Result: Decision/confirmation of the request
  • User: To whom the request was assigned
  • Completed on: Date and time of processing the request
  • Started on (in details): Date and time the request was assigned

 

Availability

Decision history in the viewer sidebar is available with DocuWare version 7.11 and higher. It can be accessed by all users authorized to view a document’s history. If you don’t have this permission, please contact your administrator.


For DocuWare Cloud: Decision history is also available to users with a "Workflow User" license.
For DocuWare as an on-premises system, the "Workflow Manager" add-on license is required.
