The IDP functions

DocuWare currently offers four IDP functions. Used together with document management, these provide an even higher degree of automation of business processes, greater efficiency and significant cost savings. They are: 

  • Splitting: Batch scans are automatically divided into separate documents even without the need for separator pages or barcodes. The individual PDFs can then be further processed in company-wide workflows.
  • Classification: Classification assigns documents to different categories or groups based on their content, properties or characteristics. The workflows applicable to the respective document type can be started directly.
  • Extraction: IDP accurately extracts the key data from your documents, even with a wide variety of document types and in difficult cases such as complex line items and tables, as well as scans of crumpled or stained documents.
  • Handwriting recognition: Extraction with HTR (Handwritten Text Recognition) recognizes handwritten information in scans, which can then be used as index entries for document control.

Application scenarios for DocuWare IDP

DocuWare has long offered a high degree of automation for invoice receipt processing, from automatic reading, matching of invoices and delivery notes as well as approval workflows. The IDP functions provide additional added value, especially if the line items in invoices and delivery bills are complex (multi-line or subdivided) and if delivery notes are creased or stained with coffee before scanning. The full range of IDP functions can be used in the incoming mail process. With splitting, classification and extraction, you can digitize and automate your entire inbox, whether letter post or e-mail. Your AI model options

Functions that use AI are based on corresponding AI models. With DocuWare IDP, you have the choice of which type of AI model you want to use:

  • Pre-built: The models are delivered with preconfigured structures that contain the data fields for extraction and the document types for classification. 
  • Fine-tune Pre-built: If the ready-made models don’t fully meet your individual needs, you can optimize a model for yourself based on your specific data. 
  • Build Your Own Model: If the DocuWare IDP models don’t cover your use case, you can create a customized model. You train this according to your specific requirements using your own data.

 

Integrating IDP functions in DocuWare

You can use the IDP functions with both DocuWare Cloud and DocuWare On-premises system right now using:

  • the DocuWare Workflow Manager: Classification and extraction incl. handwriting
  • via DocuWare storageRobot: Splitting, classification and extraction incl. handwriting (but no extraction of individual line items for transfer to DocuWare index tables)

 

The license model

DocuWare IDP is licensed on a volume basis. You can choose from various IDP packages to cover your individual requirements for IDP functions. Upon request, you can receive a free storageRobot license with your IDP package, which is limited to use in combination with DocuWare IDP.
