Displaying invoices directly from accounting program

Are you busy working in your accounting program and want to display archived invoices, for example, without having to switch to the DocuWare interface? Then use Smart Connect.

 

Here’s a great way to display documents from your archive without ever leaving the application you mainly work with.

DocuWare Smart Connect comes with a very handy feature called Smart Search. This allows you to search content straight from the interface of your program and pass this content through to DocuWare as search terms. This saves you a lot of time and effort because you no longer have to manually enter or copy content into the search dialog in the DocuWare Client.

How Smart Search makes your work easier

Let’s say you are working with an accounting program, which you use regularly to post invoices. You store these invoices in DocuWare. In both systems, the invoices carry the same invoice numbers.

In your accounting program, you now want to edit the record belonging to an invoice. To do so, you’d like to view the invoice itself. By using Smart Search, you simply click on the DocuWare button that appears in your accounting software - or you can set up a zippy key combination. This will run a search in DocuWare in the background, which will look for an invoice with the same invoice number. Whether by button click or keyboard combo, the result will be displayed directly on the screen without ever having to open the DocuWare Client.

Searches - simple to set up

A Smart Search requires a configuration that can be quickly and easily set up. You can create different configurations for different applications and scenarios.

First, take a screenshot of the window of your main application – in our example, an accounting program. Then place the Smart Search button in a spot that will make it easy to access for searches.

To then further specify what it will be searched for in DocuWare, assign text or list elements of the captured window to individual index fields of the selected DocuWare dialog.

  1. Define the search with the tools Text, Lists or Anchors.
  2. Edit the text field and define the text that will be used for the search in more detail. Or you can have the text automatically replaced by another one.

To ensure that values like dates, times or numbers are read correctly, you can further define their formats.
