More Than Just Scanning

EN_dokumentvorschau_Header_Artikel.jpg

When working with DocuWare, you are probably scanning many documents on a regular basis. To make this daily work even more efficient, you can check over, align, rotate, combine or separate the items you might be scanning (like invoices, delivery notes or other documents) before you actually store them.

Scan and Edit Documents

If you want to scan a new document, simply click on the Scan button in your document tray. It will open the installed scanning application and you can get started right away. You can also launch this application via the shortcut "i" at any time.

Scanned pages are then displayed for a first check or can be uploaded directly into your DocuWare Client. This may also happen automatically as an option.

It’s simple to preview scanned documents before uploading them right in the large preview window of the viewer. This is the easiest moment to remedy any errors made during the scan process.

You can quickly check each page of your scanned documents in the viewer’s large preview window first before storing them.

If you are scanning a whole stack of documents, you can organize your documents first within the DocuWare Scan application. You can rotate or delete pages, share documents or add pages to a document here.

Improving Scan Quality – Finding a Perfect Match for your Scan Process

In order to achieve the best quality from your original document, there are different ways to define how to scan your documents. Within Scan Configuration, you determine whether the documents should be captured one-sided or double-sided, in color, grayscale or black-and-white, and at what resolution.

You can save all settings to be able to recall them quickly the next time you scan. This is particularly valuable when you are scanning different document types. While for most invoices grayscale mode is sufficient, it may be useful to switch to color mode when scanning documents that contain photos.

If you want to capture groups of similar documents, scanned with the same settings, you can also make your work easier here: create several scan configurations that you can switch between with a mouse click. Even with single documents, which differ greatly from one another, this will help keep your effort to a minimum.

You Choose the Storage

In the scan interface, you can specify how documents are to be processed after scanning. In the simplest case, they are placed in your default document tray - the inbox:

DocuWare‘s import configurations also allow you to store it in a different document tray or directly into a file cabinet, where documents can be further sorted or indexed automatically.
