Zero in on the most targeted data from an external source for use in DocuWare. This keeps select lists in a store dialog cleaned up - and your archiving extra speedy.
Filter an external source before the contents are transferred to DocuWare as a select list. This handy option is now also possible in DocuWare Cloud
Here's an example: An employee wants to assign an invoice to the correct purchase order when filing. He opens the select list in the store dialog within the "Purchase order" field, which in turn is transferred to DocuWare via the company’s ERP system.
Since the data is filtered in advance from the ERP system, the employee does not have to see all purchase orders in the select list, but only those that have already been delivered – or rather, those which contain the value "Delivered" in their "Status" field.
Here's how
In a cloud system, you can set up a pre-filter for external select lists within DocuWare Configuration: Indexing help > Select lists. Note: a database connection to the external data source is required.
• The filter option is located under the list of database columns.
• You select at least one database field and enter a value for the filtering; in this case, the status field needs to have the entry Delivered.
• In the store dialog, only orders that have already been delivered are offered as a selection.
A preview shows whether the filter is letting through / sorting out the desired data for transfer to a DocuWare select list.
