For all DocuWare Cloud customers, we will release a new version of the DocuWare Export Desktop App, scheduled for July 15, 2026. With this update, DocuWare is introducing a major overhaul of the authentication process which requires a user login after the update. What do you need to do?
On July 15, 2026, a new version of the Export Desktop App will be released for all DocuWare Cloud customers, featuring a more modern authentication process. All users of the Export Desktop App must:
- install the new version
- open the Export Desktop App once
- log in using their DocuWare credentials.
Once this lats step is complete, all scheduled and manual exports will run again without further user interaction. However, scheduled export jobs cannot be executed without this login.
What are the benefits of this change for you?
The new authentication flow is more reliable and more secure – here’s what it means in practice:
- More stable scheduled jobs: Password changes, username updates, or system maintenance no longer break the authentication chain and stop scheduled exports.
- No more forced re-logins: The new approach uses long-lived, machine-bound credentials that keep background jobs running unattended. The old flow required periodic re-authentication due to token expiry.
- Better security: Each user and machine gets its own isolated, encrypted credential – if one connection is compromised or unused, it can be revoked without affecting anyone else.
What happens in the background?
For each user and device, the system automatically creates a dedicated connection which can be managed under Profile & Settings > Security > Applications.
Please note: if the Export Desktop App is not used for more than 45 days, the connection will be revoked and the user will need to authenticate again.
