The multiple stages each exam had to pass through conflicted with the desired level of security and made the process vulnerable to organizational ambiguities and transport delays. This regularly resulted in extended grading times, affecting both student satisfaction and the timely fulfillment of regulatory requirements. Assigning thousands of exam papers to the respective graders was also highly labor-intensive, particularly when shipments arrived at different times and transparency first had to be established regarding which documents had been received and which were still pending.
Digitized Examination Process with QR Codes
Today, the examination process is largely digitally mapped with DocuWare. Exam documents are still centrally prepared in Madrid, now printed with individualized QR codes containing all relevant information about the respective exam and student, and then sent to the examination centers. After the examination, completed papers are scanned directly on-site and transmitted to DocuWare. The system automatically reads the QR codes, archives the documents in a revision-proof manner, and synchronizes them with the Moodle learning management system. As a result, exams are immediately available in the familiar virtual work environment of the responsible professors, allowing grading to be completed digitally. More than 15 administrative staff members and 900 lecturers now work with DocuWare. Per examination cycle, approximately 16,000 exams totalling180,000 pages are processed digitally.
