There’s a running joke among UK healthcare teams that their paperwork has its own waiting list. But the joke stops being funny when you look at the numbers.
NHS England believes clinicians spend 30–40% of their working week on admin. A huge chunk of that is document-related: reading referral letters, copying patient details into an EPR, chasing missing discharge summaries and filing compliance paperwork. Most of this work is done by hand, most of it is repetitive, and none of it is a good use of anyone’s training.
Intelligent document processing (IDP) has started attracting serious attention as a way to reduce healthcare’s document management burden. IDP combines AI, optical character recognition (OCR) and machine learning to turn unstructured documents into usable, structured data .
AP teams shouldn’t have to spend their day chasing invoice approvals. But in many UK businesses, that’s precisely what happens.
Invoices arrive by email, get saved into folders, then bounce around in threads until someone has time to respond. It only takes one missing cost centre or unclear approval chain to hold everything up.
A structured invoice approval process takes the pressure off UK AP teams. It captures invoices as they arrive, validates the data, and automatically routes them to approvers using predefined rules and service-level agreements (SLAs).
If you’re running accounts payable (AP) for a mid-market or enterprise business, you’ll know these pain points: invoices sitting in inboxes for days; accidentally paying suppliers twice because their invoice arrived in two places; month-end close dragging into week two as you chase manual exceptions. These issues hit your company cash flow and strain supplier relationships.
Late payments cost the UK economy almost £11 billion a year. Their impact spans the entire business, from cash flow and supplier relationships to delivery schedules and team time allocation.
One of the most effective ways to reduce friction and speed up payment processing is to review the PO and invoice process.
In addition to European-wide standardisation, we have achieved an even more important goal by using DocuWare: improving the quality of our work. Our employees can now devote themselves to more value-added tasks than filing and searching for documents. The understanding that change brought was also a positive thing, and the resulting greater acceptance of new projects, opens up great potential for optimisation for us as a group.
Rethinking paper-driven processes really helped us identify inefficiencies and reimagine how different processes within other departments could work more efficiently. We have streamlined access to documents and improved information flow, all whilst maintaining the ability to track, edit and retrieve documents in a GDPR compliant fashion.
